Privacy Policy

This policy explains how Maple Canada Services collects, uses, shares and protects personal information through Maple Canada Jobs and the Employment Placement Program. It applies to every visitor and account holder.

1.Who operates the Service

Maple Canada Jobs (maplecanadajobs.app) and the Employment Placement Program (together, the “Service”) are operated by Maple Canada Services, Toronto, Canada (“Maple Canada Services”, “we”, “us”). Maple Canada Services is responsible for the personal information processed through the Service.

Job postings are sourced from Job Bank Canada. The Service is not affiliated with, endorsed by or acting on behalf of the Government of Canada or any government body.

2.Information we collect

  • Account information: first and last name, email address, phone number and password. Passwords are stored in hashed form by our authentication provider and are never visible to our team.
  • Job profile: occupation, work experience, education, language results, preferred provinces and cities, work authorisation and immigration status as you state them, and your answers to the onboarding questionnaire.
  • Documents: the CV, diplomas, reference letters and other files you upload, and the fact sheet generated from them.
  • CV builder content: the sections you write or edit and the PDF files generated from them.
  • Applications: application letters, answers to screening questions, the record of applications sent, and correspondence with employers received through your personal application address (Full Automated Service).
  • Job agent conversations: messages exchanged with the personal AI job agent (Full Automated Service).
  • Plan records: the plan purchased, the amount, the purchase date and the access period. Payment details are processed by the payment method used; full card numbers are not stored on our systems.
  • Technical and usage data: pages visited, device and browser type, IP address and the approximate country derived from it, the referring page and campaign parameters of your first visit, and delivery, open and click events of the emails we send.

3.How we use information

  • To provide the Service: match Job Bank postings to your profile, show them in your dashboard, send the email alerts included in your plan, build your CV and prepare application letters.
  • To send applications in your name: on the Full Automated Service only, and only after you give explicit consent in your dashboard. Your consent is recorded with the date and time it was given. Automatic applications follow the settings, hold period and daily limits you choose.
  • To forward employer replies: replies sent to your personal application address are forwarded to your email and shown in your dashboard.
  • To support your plan: an advisor of Maple Canada Services may contact you by email or phone about plan activation, upgrades and your search.
  • To communicate about the Service: account and security notices, access-period reminders and changes to these terms.
  • To keep the Service secure: detect fraudulent accounts, falsified documents and misuse of the application address, and enforce our Terms of Service.
  • To meet legal obligations: accounting, tax and record-keeping requirements, and lawful requests from authorities.

Information is used only for the purposes described here or purposes consistent with them. Where consent is the basis for processing, it can be withdrawn at any time.

4.Automated processing and AI

Matching scores are calculated automatically from your profile and the content of each posting. AI models generate the document fact sheet, suggested CV wording, application letters, screening answers and the replies of the job agent. The text required for each task is sent to AI service providers to generate the requested output.

Generated content is based on the information you provide and is shown in your dashboard before it is used. On the Full Automated Service, every automatic application is held for the review period you set, during which it can be read, edited or cancelled. Hiring decisions are made by employers, not by the Service.

5.How information is shared

  • Employers: only when an application is sent, either by you or, on the Full Automated Service, in your name with your consent. The employer receives the application letter, your CV and any screening answers.
  • Service providers: hosting, database and authentication, email delivery, AI processing and payment processing providers, each bound by confidentiality and data-protection obligations and permitted to use the information only to provide their service to us.
  • Maple Canada Services team: advisors and administrators who need access to support your plan.
  • Legal requirements: when disclosure is required by law, a court order or a lawful request from an authority, or is necessary to protect the rights and safety of our clients or the public.

We do not sell personal information. Information you provide through the Service is not shared with the Government of Canada or Job Bank Canada.

6.Storage and international transfers

Our service providers may store and process information in Canada, the United States, the European Union and other countries where they operate. Where information is transferred outside your country, it is protected by contractual safeguards and by the security measures described in this policy.

7.Retention

Account, profile, documents and matches are kept for as long as your account exists. When a plan ends, this information remains available in read-only mode so you can review it or renew the plan.

Application records and employer correspondence are kept for as long as the account exists, so that replies to earlier applications continue to reach you. Payment and plan records are kept for the period required by tax and accounting law. When you ask us to delete your account, the remaining information is deleted or anonymised within 30 days.

8.Your rights and choices

  • Access the personal information we hold about you and receive a copy of it.
  • Correct inaccurate information. Most profile information can be edited in your dashboard.
  • Delete your account and the information associated with it, subject to the legal retention periods above.
  • Withdraw consent, including consent to automatic applications, which can be turned off at any time in your dashboard.
  • Stop email alerts and other non-essential messages with the unsubscribe link in each email or the alert setting in your dashboard.

Requests are sent to support@maplecanadaservices.com and answered within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the data-protection authority of your country.

9.Security

Information is encrypted in transit, access to client data is restricted to authorised systems and staff, and every data request is checked against the signed-in account. You are responsible for keeping your password confidential and for notifying us at support@maplecanadaservices.com of any unauthorised use of your account.

10.Cookies and local storage

The Service uses browser storage to keep you signed in and to remember the source of your first visit. These items are required for the Service to work and are not used for advertising on other websites.

11.Age requirement

The Service is intended for people aged 18 or older. We do not knowingly collect personal information from minors.

12.Changes to this policy

This policy may be updated to reflect changes to the Service or the law. The date at the top of this page shows the latest version. Material changes are announced by email or in your dashboard before they take effect.
